You can also import exam forms to a project using an Excel file or an XML file. This action can only be done by a Project Manager.

Import exam forms to a project using an Excel file

  1. Select the Manage → Import → Exams menu.
  2. Click the Get Sample Excel hyperlink under Select file (*.xls) region of the page to download the sample exam form import template in Excel file format.


  3. The Excel file has four sheets to enter data:
    • Exam: It is mandatory to enter the Exam Form Name and the Exam Name in this sheet, while Exam Form Title is optional.
    • Sections: It is mandatory to enter the Section ID that is used for reference of the Section on the QuestionId sheet under the Id column and the Section Name under the Name column in the Sections sheet. The Experimental column is optional. Select Yes or No from the Experimental drop-down options. When Yes is selected, the section is marked as experimental and it is not scored. When No is selected the section is not marked as experimental and the section is scored. If the Section is marked as Yes then all questions belonging to this Section should be marked as Yes. Same is true for No. If this column is not marked, then Display Type, Constructed Response/Oral, and Compound items all default to Yes and are therefore marked as experimental and not scored.
    • QuestionId: In this sheet, it is mandatory to enter the Question ID under Question Number column. Optionally, you can fill in the Section ID (as entered in the Sections sheet), that the item is part of, and Experimental value also in the same way as in the Sections sheet. If this column is not marked, then Display Type, Constructed Response/Oral, and Compound items all default to Yes and are therefore marked as experimental and not scored.
    • ExternalId: In this sheet, it is mandatory to enter the External ID under External Id column. Optionally, you can fill in the Section ID (as entered in the Sections sheet), that the item is part of, and Experimental value also in the same way as in the Sections sheet.

      Do not enter any data in the second row. Start entering data from the third row. Any data entered after an empty row is not imported.



  4. Save the Excel file template.
  5. Return to the Exam Import page, click the Choose File button to browse to the updated Excel file template, click OK button to select it, and click the Upload button.

    Why is the selected template not showing as selected after selecting in Microsoft Edge web browser?

    If you are using Microsoft Edge web browser, you might encounter the following behavior.

    When a template is opened, but not closed in the associated application, the template selection is not visible on the import page page even if the template is selected via the Browse button, and it is not possible to import it. To import the template successfully, it must be closed in the application where it is open.

    The issue has been observed up to Edge version 25.10586.0.0 as of the time of writing this.



  6. A message notifies you that the file imported successfully.

    An error message informs you that data is missing in Exam sheet row 3 and 4 and the exam form import fails, when you try to upload the original empty Excel template without filling any data.

    An error message is displayed and the exam form import fails if you try to upload any Excel file other than the valid and filled Excel template for exam form.

    An error message is displayed and the exam form import fails if the exam form name entered in the Excel template already exists in the project. The concerned exam form name is not displayed.

    If the Section sheet is missing mandatory data (Section Id or Section name), then the exam form import fails and an error message is displayed notifying the type of data that is missing along with the row number(s).

    If the Section name entered in the Sections sheet already exists in the project, then the exam form import fails and an error message is displayed identifying the name of the section.

    If you enter the same Section ID multiple times in the Id column of the Sections sheet, the exam form import fails and an error message is displayed specifying the row number(s) where the duplicate Section Id(s) are listed.

    If you enter the same Section name multiple times in the Name column of the Sections sheet, the exam form import fails and an error message is displayed specifying the row number(s) where the duplicate section name(s) exists.

    If the Section ID entered in the QuestionId sheet is different from the one mentioned in the Sections sheet, then the exam form import fails and an error message is displayed identifying the row number where the invalid section Id is listed.

    If the QuestionId sheet is missing Question ID and the correct Section ID is entered, then the exam form import fails and an error message is displayed identifying the row number(s) for the missing Question ID(s).

    If you enter the same Question ID in multiple rows of the QuestionId sheet, the exam form import fails and an error message is displayed identifying the row numbers where the duplicate Question IDs are present.

    If you enter Question ID(s) that don’t exist in a project, in the QuestionId sheet, the exam form import fails and an error message is displayed identifying the Question ID(s) that are not in the project.

    If the QuestionId sheet is missing External ID and the correct Section ID is entered, then the exam form import fails and an error message is displayed identifying the row number(s) for the missing External ID(s).

    If you enter Question IDs of questions in Draft, Rejected, or Imported States, in the QuestionId sheet, the exam form import fails and an error message is displayed identifying the Question IDs in one of the unacceptable States.

    If you enter Question ID(s) of question(s) in an Obsolete State, in the QuestionId sheet, the exam form import fails and an error message is displayed identifying the Question ID(s) of the question(s) in an Obsolete State.

    The exam form import fails if you enter Question IDs in the QuestionId sheet, for questions with invalid experimental values and an error message is displayed identifying the concerned Question IDs.

    If you enter the same External ID in multiple rows of the ExternalId sheet, the exam form import fails and an error message is displayed identifying the row numbers where the duplicate External IDs are present.

    An error message is displayed and the exam form import fails if you enter External ID(s) that do not exist in the project, in the ExternalId sheet. The wrong External ID(s) is mentioned.

    If the External ID(s) entered by you in the ExternalId sheet is/are associated with multiple items, the exam form import fails and an error message is displayed identifying the External ID(s) assigned to multiple items.

    If you enter External IDs of questions in Draft, Rejected, or Imported States, in the ExternalId sheet, the exam form import fails and an error message is displayed identifying the External IDs in one of the unacceptable States.
